Position Summary: Performs a wide range of executive, administrative, and general support duties of a highly responsible and confidential nature in the office of the Chairman and CEO, Airbus Americas. Requires the skills of responsiveness and the ability to plan for contingencies in scheduling.  Must respond to requests for last minute changes to itineraries, meetings and locations and resolve to ensure minimal disruption to the business.

Primary Responsibilities:

Manages travel planning and expense reporting. 55%

  • Manages planning and execution of complex travel arrangements. Becomes familiar with the specific, detailed needs of the Chairman and CEO and travel partners; creates consistent, and in coordination with the Executive Assistant, travel itinerary portfolios for reference.
  • Optimize time of Chairman and CEO when traveling or away from headquarters.
  • Maintains availability and connectivity during travel times (responsive 24/7) to quickly address last minute changes, travel disruptions, or delays.
  • Accurately oversees the tracking of expenses for Chairman and CEO. Oversees processing and submission of receipts accurately and on schedule. Maintains detailed spreadsheet to track submissions and payments.

Executes procurement activities for the Executive Office. 25%

  • Using the Airbus "Click and Buy" process creates purchase Order in Click n Buy with engagement letter and other applicable paperwork for approval
  • Submits payment requests and ensures all subsequent actions are completed in a timely manner
  • Maintains tracking of all expenditures to ensure expenses within Executive Office are accurately accounted for
  • Manages equipment and supplies for the Executive Office to ensure supported executive(s) have fully equipped and up to date technology and supplies.

Manages daily activities. 15%

  • In the absence of the Executive Assistant provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts; makes recommendations to ensure smooth day-to-day engagements.
  • Manages contacts using Outlook to conduct up-to-date database entry, tracks VIP relations and correspondence; facilitates relationships by familiarizing his/herself with key events and major milestones.
  • Interacts with stakeholders to gather and/or prepare background materials for internal and external Chairman and CEO meetings with limited direction; ensures proper follow-up as required.

Additional Responsibilities:  

Other duties as assigned: Management of Administrative Assistants. 5%

  • Processes Sponsorship requests on behalf of the Chairman and CEO
  • Responsible for maintaining currency of skills in regards to frequently used software and office programs, including Airbus unique information systems.
  • Responsible to maintain knowledge of organizational issues and changes.
  • When required assists with executing events organized by the Executive Office
  • Assists with overall Executive Office organization to include processing of mail, correspondence and electronic filing in general.

 Qualified Experience / Skills / Training:


  • Required. High School diploma
  • Preferred. Bachelor's degree


  • Required. 5+ years as an Administrative Assistant
  • Preferred. 2 to 5 years as an Administrative Assistant within the aerospace industry


  • Required. None

Knowledge, Skills, Demonstrated Capabilities:

  • Required. Proficiency with MS Office and ability to learn new technologies.
  • Preferred. Proficiency with Airbus myPulse and Hub.

Communication Skills (Spoken, Written, Influencing, Proficiency in Other Languages):

  • Strong verbal and written communication skills and the ability to speak effectively and easily with both internal and external senior executives and employees.

Travel Required:

  • Must be available to travel based on the job requirements, up to 10%


  • Able to work in the US without a current or future need for visa sponsorship

Decision Making, Complexity:

  • When the Chairman and CEO is on travel or otherwise not available for consultation must be able to exercise independent judgment and if required take initiative and assume responsibility with limited direction.
