Position Summary: Provides administrative support to the Commercial Team (the Team) including the Head of Customers, and Heads of Sales, Marketing, Contracts, Customer Finance, and Services Sales.

Primary Responsibilities:

  • Arranging travel for Team members, compiling & filing expense reports and updating the Expense Tracking worksheet for completed travel.
  • Arranging Team and departmental events including meeting requests, conference rooms with necessary IT or presentation equipment / materials available, and arranging catering when requested.
  • Preparing recurring reports, for example the weekly executive update report draft & distribution before team call, revising and ensuring full distribution after the team call.
  • Arrange customer meetings, dinners, etc., liaise with CAD and Customer for specific requirements.
  • Screen incoming calls / visitors and correspondence for the Team.
  • Managing Team members Calendars as necessary.
  • Managing department equipment and supplies.
  • Draft correspondence for internal and external distribution from the Team.

Additional Responsibilities:

Provide assistance to the SVP & VP's Executive Administrative Assistant by (but not limited to):

  • Arranging visits of Customers to Airbus HQ in Herndon or Toulouse, ensuring all levels of details and authorizations are completed.
  • Arranging team and department events including conferences, internal meetings, and team boosters ensuring the necessary equipment, materials and facilities are available, and arranging catering when requested.

Qualified Experience / Skills / Training:

Candidate must possess excellent communication skills, both written and verbal. A good working knowledge of Salesforce and the G-suite of tools is required. Prior experience with SAP is a plus. No technical background is necessary, but willingness to learn Airbus and aircraft terminology is a must.


Some college is preferred or an equivalent combination of education and experience.

Cursory communication on an irregular basis with internal and external parties.

This position is a temporary (contract) position with no specific time period but could be extended or shortened as needed. Contractors are employed by a 3rd party vendor and placed on assignment to Airbus in America.
