Position Summary

The HO Payroll Administration will oversee the US payroll function and all processing, administration, reporting, and filings. The successful candidate will possess a strong knowledge of payroll, internal controls, audits and process improvement for a multi-state payroll environment. The ideal candidate will have a proven track record of growth throughout their career with supervisory experience. We are looking for someone with a passion for service excellence amongst all levels within the organization. Must have a high sense of urgency and excellent written and verbal communication skills. This is a working leader role.

Primary Responsibilities

  • Oversee the administration of the US payroll (biweekly and semi-monthly) for approximately 2, 030 employees and 7 EINs.
  • Perform quarterly and year-end activities, including issuance of W-2s, tax remittances, and reporting
  • Conduct detailed auditing and validation each payroll cycle to improve the accuracy of the payroll
  • Ensure timely transmittal of garnishments and deduction files
  • Respond to audit requests from internal and external parties
  • Respond to employee inquiries regarding their paycheck and time reporting
  • Create and monitor automated file feeds to external vendors
  • Identify enhancements to the payroll system to expedite processing and improve the accuracy of the payroll
  • Fulfill data/reporting requests for payroll and timekeeping
  • Provide timely and accurate postings for the G/L
  • Determine payroll liabilities by approving the calculation on employee federal and state income and social security taxes, and employer social security, unemployment, and workers compensation payments
  • Maintain payroll guidelines, policies, and procedures
  • Comply with federal, state, and local legal requirements and new legislation; enforcing adherence to requirements
  • Build, mentor and develop payroll team into service focused collaborative business partners within the organization

Education

  • Bachelor's degree in Human Resources, Business Administration, or related field or equivalent work experience
  • Certification as a payroll professional is preferred

Experience

  • 7 years of payroll experience with increasing responsibility and leadership ability in a multi-state company
  • Experience with ADP Vantage, Workforce now, Workday (or large scale Human Capital system)
  • Experience with MS Excel and Google Workspace products (e.g. Sheets)
  • Payroll implementation experience is a plus
